The Verification Station allows more complex checks than the Data Verification Station. Besides verifying the data, the station allows its Operator to process problem batches or documents, correct assembly errors, apply data rules, and check batches for integrity. The Verification Station can work both in a local and a remote network (via the Internet). Authorization is carried out using a login and a password. For more details, please see Remote Verification Station.
The Verification Station can be operated by the following Operators: Data Verification Operators, Verification Operators, and Senior Verification Operators. Depending on which role the Operator selected when logging onto the station, they see and can process tasks from different queues:
- A Data Verification Operator can process only tasks from the Data Verification queue
- A Verification Operator can process tasks from any stage except the Exceptions stage and the Export Confirmation stage
- A Senior Verification Operator can process tasks from any queue. Besides the list of queues, the Senior Verification Operator can also access the list of certain batches (for details, see the description below) and the view mode for each stage where a particular task from the queue can be selected.
Note: The Administrator can create additional processing stages and the corresponding queues. Whether an Operator can access these queues depends on the Operator's role and on the required permissions for these queues (these permissions are defined by the Administrator).
Note: The list of available roles depends on the Operator's access permissions. If only one role is available to the Operator, the list of roles is not displayed.
This queue includes tasks created in any of the other queues. The list of queues available to an Operator depends on the role selected by the Operator when logging onto the station. The tasks are taken in the order of their priority.
- Data Verification
The data verification process starts with group verification followed by field verification. If a Document Definition has no fields included into group or field verification, the document is not placed in the data verification queue.
- Document Assembly Check
For multi-page documents, document assembly errors may have to be corrected. Document assembly rules are created together with Document Definitions and define the order of pages and the number of page repeats. Additionally, document assembly may be checked based on key field values, in which case the values of the key fields must be the same on all the pages of a document. If the values differ, an error message is displayed and the values are highlighted in red. Assembly errors are best corrected in the page thumbnail view, as it provides a clear general view of the pages and it becomes immediately clear to which document they belong.
If no special queues are specified by the processing parameters, the Verification queue contains all tasks with document assembly errors, data verification errors, and rule errors.
- Batch Integrity Check
The rules used for data integrity checks establish links among the data in the documents of a batch.
- Export Confirmation
Data export can be initiated manually or automatically. If the processing parameters do not define a separate Export Confirmation queue, the documents are exported automatically. If the processing parameters include a separate Export Confirmation queue, the Senior Verification Operator must first check documents of the task after which the task is sent to the Export queue. If an error occurs in the Export stage, the documents are automatically sent to the Exceptions queue.
Problem batches or documents, which the Operators or stations failed to process, are sent to the Exceptions queue.
Note: The document processing parameters (i.e. separate queues) are specified for batch types or for the entire project if no batch types are used.
To perform a task, select the desired queue in the list of queues and click .
You can enable the automatic mode of getting tasks by clicking or Task → Automatic Task Receive.
On the Verification Station task documents preview is available in Details and Thumbnails view modes. In Details view, only the documents of the active task are displayed.
In addition to the list of task queues, the Senior Verification Operator also has access to a list of batches from the project that he has permissions for. These permissions and other Operator permissions can be assigned from the Administration and Monitoring Console. To view the list of batch, click Batches on the View menu or click the batch button on the toolbar.
In the batches view mode the Operator can get access to information about the batch confidence level, the number of pages and documents, the batch type, etc. With a mouse selection of a batch in the list you can send the selected batch to any processing stage, specify the batch priority, select a particular user to verify the batch and add comment. Thus you can collect documents, which belong to one batch, from different processing queues, and send them to one stage.
With a double-click you can open the batch to look through the list of documents, verify data, correct possible rule and assembly errors, etc. With a mouse selection of one or several documents, you can send the selected documents to a processing stage and create a separate task for them.
To mark selected documents for sending to Exceptions, Rescanning or any processing stage, select the corresponding item from the Task menu or in the document local menu. In the dialog box that opens, you can enter your comment or choose a comment from the Recent Comments list. You can choose from 10 latest comments to the sent tasks. If you want to edit text of a comment from the list, choose the desired comment, click OK and edit the text of the comment in the input field. If there is a rarely used comment in the list, you may delete it.
The list of comments is stored in the registry branch
Comments in the string are separated by a comma. If the comment text contains a comma, the comma is written as "/,". The symbol of a new line "/" is written as "//". A multiline comment is displayed as a single line divided by spaces. In comment text, any characters can be used.
Thus, different FlexiCapture users working in the local Verification station within a single Windows user session, use the same list.
For documents sent to Rescanning, you can also specify the Operator, the task will be assigned to. By default the Operator who scanned the document is selected. If this Operator does not have necessary permissions or images were imported from a Hot Folder, the user 'Any' is specified as a Scanning Operator.
Once the task is closed, documents marked for sending will be sent to the corresponding processing stages.
Note: When sending batches to stages, make sure that the documents of the batch do not belong to already created tasks, otherwise empty tasks will be created. You can check whether the document belongs to a task in the Task ID column.
