Administrator and Operator modes

To organize single-flow data input with the help of ABBYY FlexiCapture, you need to configure the system for processing certain types of document. All settings are configured by the Administrator, while document input is performed by Operators. The number of workstations depends on the number and volume of documents requiring processing.

The Administrator configures the system and controls its operation. The Administrator is tasked with:

  • designing new form blanks (this task may be handled by the designer)
  • configuring image import and scanning options
  • preparing Document Definitions
  • monitoring data input into a configured system and advising Operators

Operators are tasked with document input. They work with a system that has been preconfigured by the Administrator and which is ready to process completed documents of certain types. Operators are tasked with:

  • scanning or importing documents
  • verifying data
  • exporting data

Document recognition is an automatic process.

The program has two operation modes: Administrator mode and Operator mode. The Administrator has access to all program functions, and the Administrator mode can be password protected. The Operator cannot create or edit Document Definitions, nor can they create import profiles. The Operator is allowed to work only with one project or a single batch.

When you install the program you can choose between installing only the Operator Station or the complete program. If you select complete installation, you will be able to switch between Administrator and Operator mode. To select one of the modes, select either Start → All Programs → ABBYY FlexiCapture 12 → ABBYY FlexiCapture Administrator Station or Start → All Programs → ABBYY FlexiCapture → ABBYY FlexiCapture Operator Station. In Administrator mode, the main menu has the items Test Batches, Document Definitions..., Protect with Password..., Unprotect... that are not accessible in the Operator mode. You can therefore only work with test batches and Document Definitions in Administrator mode. The Operator cannot edit image import profiles and batch types, or view project properties and export projects. The Administrator can also password-protect or unprotect a project. If you attempt to open a password-protected project in Administrator mode, you will be asked to enter a password.

In the Operator mode, the Project menu has the item Switch to Admin Mode.... After you select this item, the current project and batch will open (following entry of the correct password, if the batch is password-protected). If you are not authorized to modify the current project or batch in Operator mode, the relevant menu items and toolbars will be absent.
